Document acknowledgments on mobile devices
In industries such as healthcare, food, chemistry, and heavy manufacturing, work is conducted in environments where providing guidance to employees and following the work instructions is critical. In this context, companies information management systems must facilitate easy document access, reading, learning, and monitoring reporting.
The Nive Notis application provides a solution to this challenge. The app enables employees to quickly and easily access instructions and acknowledge the reading and understanding of documents. This not only ensures precise adherence to guidelines but also simplifies monitoring and ensures regular updates to instructions.
Monitoring is also crucial in addition to safety
In addition to always providing employees with up-to-date instructions to ensure they are working correctly, it is important to be able to monitor what employees have acknowledged as read and to ensure the regular review of guidelines, such as work and safety instructions. In the M-Files Quality Management System (QMS), there is a functionality that enables not only employee orientation but also the issuance of new instructions based on changes in the employee's department, process, or role.
Changes in orientation or roles happens infrequently, yet employees move around the factory daily, interacting with multiple machines and equipment. Is it possible to distribute work or safety instructions directly where employees move and even receive real-time acknowledgments of reading the work instructions? A good example is the space of an industrial painting line, where upon arrival, specific safety and operating instructions must be read and understood.
Flexibility and real-time information from the field
Making document acknowledgments in the factory area, instead of at an office desk with a computer, is easily achievable using the Nive Notis application on a phone. In this scenario, one of the application's features is configured as "document acknowledgment." The acknowledged document can be either selected from a list or easily identified on-site, for example using a QR code or NFC tag.
in addition to the information about the acknowledged document, the system automatically captures details about the person who made the acknowledgment, along with a timestamp. If desired, it can also include location coordinates or an address of the acknowledgment. This information is reliably stored in the M-Files background system and can be easily retrieved later based on the timestamp, the person who acknowledged, the document, or the location data.
"In addition to the document acknowledgment example above, the Nive Notis application is easy to configure for almost any of our customer's processes and mobile reporting needs. There are a multiple of use cases, ranging from hourly reporting to collecting location-based maintenance requests," assures Pekka Korpela, CEO of Nive IT
